Planning for your trip to the Annual Conference

 Where will the annual conference be held in Newport News?

All lectures, meals and the exhibit hall will take place at the Newport News Marriott at City Center. The tours will leave and depart from the Marriott, as well. The hotel is located at 740 Town Center Drive, Newport News, VA 23606.

Do I need to stay at Newport News Marriott to participate in the Annual Conference?

No. You can stay anywhere!

What is the parking fee at the Newport News Marriott?

Complimentary self-parking; Valet Parking is available for $12/day.

What is the parking fee at the overflow Holiday Inn?

Complimentary self-parking.

What are my travel options to the Newport News area?

There are three airports within a comfortable proximity to the Newport News area:

  • Newport News/ Williamsburg International Airport (PHF) – 5 miles
  • Norfolk International Airport (ORF) – 28 miles
  • Richmond International Airport (RIC) – 61 miles

There is also an Amtrak Train Station located in Newport News (NPN).

Once I arrive in the area, what are my best shuttle options to get to the Marriott?

James River Transportation provides shuttles from all area airports. The approximate pricing for a one way trip is as follows:

  • From Newport News (PHF) Airport - $99.00 (includes 20% gratuity) for up to three people in a car. To make reservations, call 866-823-4626 or 757-963-0433. Uber fare is estimated at $15-19/one way.
  • From Norfolk Airport (ORF) - $99.00 (includes 20% gratuity) for up to three people in a car. To make reservations, call 866-823-4626 or 757-963-0433. Uber far from ORF to the Marriott is estimated at $32-$42/one way.
  • From Richmond (RIC) - $156.60 (includes 20% gratuity) for up to three people in a car. To make reservations, call 855-831-4343 or 804-249-1052. Uber fare is estimated at $64 - $86/one way.
  • From the Amtrak Station located in Newport News - approximate Uber fare is $9-$13.

During the Annual Conference

 What meals are included with my full conference registration fee?

As part of your conference registration, you are provided with the following meals:

  • Thursday: Breakfast and lunch. For Color Bearers attending the Author Dinner, you will also receive dinner.
  • Friday: Breakfast and lunch.
  • Saturday: Breakfast, lunch and dinner. There will be a cash bar available at dinner.
  • Sunday: Breakfast

What is a personal itinerary and why is it so important?

You will receive a personal itinerary on-site when you register. It will confirm what you signed up for and provide you with the exact time that your tour will line up for departure. All tours depart at different times, so please be sure to remember your departure time. We will not hold a bus for you if you are tardy, so please be sure to be on time.

Will there be Civil War Trust merchandise for sale at the Conference?

Yes! The Trust will have a very well stocked inventory of Civil War Trust items in the exhibit hall during the conference.  If you are interested in something specific, please contact us in advance to make sure that item will be in stock. Please contact Mary Stephens at for questions regarding merchandise.

What is the attire during for the activities scheduled during the Annual Conference?

This is YOUR vacation, and we want you to be comfortable and casual. However, for particular events, we can suggest the following:

For all tours: We recommend casual clothing with closed toed walking shoes.  We strongly suggest long pants for battlefield tours.

  • Thursday Evening Color Bearer Dinner: Cocktail/Business Attire
  • Friday Evening: Casual with comfortable shoes.
  • Saturday Evening Banquet and Awards Ceremony: Cocktail/Business Attire

Please remember to check the weather and be prepared. We also recommend you bring a hat, umbrella or rain jacket, sunscreen and bug spray.

Will you have an exhibit hall during the conference? 

Yes, we will have an exhibit hall set up during the conference. You’ll be able to speak with local, preservation minded organizations, as well as many of the authors attending our conference. There will be books and other items for sale.  The (tentative) exhibit hall hours are: 

  • Wednesday: 5:00 p.m. – 9:00 p.m. 
  • Thursday: 7:30 a.m. – 7:30 p.m.
  • Friday: 7:00 a.m. – 9:00 a.m.

The exhibit hall will close after the buses leave for the daily tours on Friday. 

I’m bringing my spouse and they aren’t interested in the Civil War. Are there any tours that might be of interest to them?  If so, what is the cost?

Yes!  We offer two non-Civil War Tours on our main tour days – Friday and Saturday.  They are typically a combination of historic homes and gardens and other local tourist sites. The full conference registration fee is the same for all participants. If your spouse is only interested in attending meals with you, we also offer a meal only package.
